Hours:  Monday – Friday 8am-5pm (100% in office)

POSITION SUMMARY:  This role will be responsible for performing a variety of administrative and clerical tasks.  Will provide support to customers, sales managers and employees, proactively assisting in daily office needs and managing general administrative activities.

ESSENTIAL DUTIES AND RESONSIBILITIES:

  • Perform general office duties including maintaining office calendars, coordinating travel arrangements, faxing, filing, copying, routine maintenance of office printers, general computer assistance, resolution of landlord/building issues, etc.
  • Receiving visitors to the office.
  • Answering and screening incoming calls.
  • Receiving and sorting daily mail.
  • Managing phone system and office equipment.
  • Managing inventory of office supplies.
  • Organize and manage employee and customer events as needed (meetings, trade shows, company outings, sporting events, etc.)
  • Prepare documents, reports, spreadsheets and presentations in Excel, Word, PowerPoint and other similar formats.
  • Provide clerical assistance to sales team, providing support as necessary (including participation in conference calls, meetings and document review as requested)
  • Prepare and maintain Excel spreadsheets and logs for customer data
  • Assist with maintaining customer data in CRM tool
  • Maintain both electronic and paper files, including office procedures
  • Perform additional responsibilities, as assigned.

REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:

  • Knowledge of Microsoft Office 365 (Teams, Excel, PowerPoint and Word) and ability to adapt to other software packages.
  • Time management skills and ability to multi-task and prioritize work
  • Excellent communication skills and ability to interface with principals, vendors, customers and visitors.
  • Excellent organizational skills including ability to handle multi-functional tasks and prioritize situations following through to completion.
  • Excellent attention to detail and accuracy.

EDUCATION AND/OR EXPERIENCE:

  • High school diploma or GED required.  College coursework preferred.
  • Minimum 1 year clerical or sales support experience.
