  • Pay:  $20-$23/hour (DOE)
  • Location:  Lake Orion, MI
  • Hours:  Monday – Friday 8am-4pm

Overview:  Our client is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the  office operations and ensuring smooth day-to-day functioning. This is a full-time/direct position with competitive pay and opportunities for growth.

Responsibilities:

  • Answer phone calls, take messages, and respond to inquiries in a professional manner
  • Assist with office tasks such as ordering supplies, maintaining inventory, and organizing files
  • Assist with project coordination by tracking deadlines, preparing documents, and conducting research
  • Proofread documents for accuracy and completeness
  • Support the team with various administrative tasks as needed
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent interpersonal skills and ability to work well in a team environment
  • Proactive problem-solving abilities and attention to detail
  • Familiarity with office management procedures and basic accounting principles
  • Ability to handle confidential information with discretion
  • Send onboarding e-mail to new store partners and make sure all necessary information is completed before the first order is sent.
  • Assist in generating PO’s for every sales invoice confirming pricing is correct.
  • Assist with ordering necessary supplies as needed.
  • Posting all credit card transactions and scanning in corresponding receipts.
  • Assist with collection of receivables. Sending e-mails to accounting contacts as needed.
  • Submit bi-weekly mileage reimbursements for brand ambassadors.
  • Monthly/ quarterly inventory reconciliation of merchandise and supplies using fishbowl software.
  • Posting basic accounting transactions in QuickBooks online.
  • Daily bank reconciliation.
  • Assist in creating welcome boxes for new stores and gathering items for vendor day bins as needed.
  • Assist other department heads as necessary with clerical tasks.
  • Packaging and shipping merchandise orders from WIX website.

Experience:

  • 2+ years’ experience in Administrative support role
  • Understanding of Basic Accounting functions
  • Proficient in using Google Suite (Docs, Sheets, Slides)
  • Proficient in Microsoft office with focus on Excel
  • Proficient QuickBooks
